Who we are

This website is run by Malleable Mind Ltd, a company registered in England and Wales (company number 11641040), registered office 18 Wrenswood Drive, Manchester M28 7GS. We're the data controller for the personal information collected through this site. We're registered with the Information Commissioner's Office, registration number ZA700503.

If you've any questions about this policy or your information, email nicola@malleablemind.co.uk.

What we collect and why

When you fill in our contact form. We collect your name, email address, the service you're interested in and anything you tell us about your situation. We use it to reply to you and talk about how we might work together. Our lawful basis is our legitimate interest in responding to people who contact us, and taking steps at your request before any agreement.

When you book a call. Bookings go through Calendly. We receive your name, email address, the time you've picked and any answers you give in the booking form. We use them to hold the call and prepare for it, on the same basis as above.

When you email or phone us. We keep your messages and contact details so we can reply and keep a record of our conversation.

When you browse the site. Squarespace, which hosts the site, collects basic information such as pages visited, the type of device and browser you use and your approximate location, so we can see how the site is used. These analytics only run if you accept them in the cookie banner. See our Cookie policy for the details.

Please don't send us details about your health or other sensitive information through the website. If you go on to work with us, any coaching or psychological work is covered by a separate agreement, which explains how we handle that information.

Who we share it with

We don't sell your information or use it for anyone else's marketing. We use these services to run the site and the business, and they handle your information on our behalf:

  • Squarespace hosts the website, stores contact form submissions and counts visits
  • Calendly runs call bookings
  • Google reCAPTCHA checks contact form submissions to block spam
  • Microsoft 365 runs our email

If you go on to work with us and an associate is delivering part of that work, we'll share what they need to do it, and we'll tell you who they are. We'll also share information if the law requires it.

Some of these companies store information outside the UK, mainly in the United States. Where that happens, the transfer is covered by the UK's data bridge with the US or by contract terms approved for UK data, so your information gets the same level of protection.

How long we keep it

We keep enquiries and booking details for 2 years after our last contact, then delete them, unless you become a client. Client records are kept as set out in your client agreement. Website usage information is kept by Squarespace for its standard period, then deleted.

Your rights

You can ask us to:

  • give you a copy of the information we hold about you
  • correct anything that's wrong
  • delete your information
  • stop or limit how we use it
  • object to us using it on the basis of our legitimate interests
  • send it to you or someone else in a format a computer can read

If we're relying on your consent, for example for analytics cookies, you can withdraw it at any time. Our Cookie policy explains how.

To ask for any of these, email nicola@malleablemind.co.uk. We'll reply within one month. There's no charge.

If you're not happy

Please tell us first and we'll try to put it right. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this policy

If we change how we use your information, we'll update this page and the date at the top.
